Litigation Preservation/Hold Notice Management

The eCollector Enterprise system provides the means to manage Hold Notice distribution, response tracking and reporting.  Additionally, the system provides the means to gather initial system inventory information in preparation for document collection phase activities.

Distributed email notice messages contain a link back to the web based eCollector Enterprise system, enabling both internal and remote employees to respond to hold notices via the web.

Configuration
Project setup builds upon the existing eCollector Enterprise structures for Project and Custodian management.  Create custom Notice email text in HTML format, providing full formatting options.  Additionally, attachments may be selected for inclusion in the distributed messages.

For each project, unique information source questionnaires options may be added to the message to provide initial source inventory response tracking.

Distribution
Distribute original and reminder email messages to either the entire custodian group or to non-responding members only.

Tracking
Custodian responses to the system are tracked, including which hold notice message (original or reminder) generated the response.  Information source, affirmative responses for no responding materials and general comments are also recorded within the system.

Reporting
Standardized reports for distribution history, responding and non-responding custodians and detailed response information provide up to the minute information regarding the current project status.
